You can exercise the following rights at any time using the contact data provided for our data protection officer:

  • Information on your data stored with us and its processing (art. 15 GDPR),
  • Rectification of inaccurate personal data (art. 16 GDPR),
  • Erasure of your data stored with us (art. 17 GDPR),
  • Restriction of data processing if we are not yet allowed to erase your data due to legal obligations (art. 18 GDPR),
  • Objection to the processing of your data stored with us (art. 21 GDPR) and
  • Data portability if you have consented to data processing or have concluded a contract with us (art. 20 GDPR).

If you have given us your consent, you can revoke this consent at any time with effect for the future. You can object to a processing of your personal data for marketing purposes at any time without having to give any reasons for doing so.

You also have a general right of objection (cf. art 21 (1) GDPR). In this case, you must specify the reasons for the objection to data processing.

If the data processing is carried out based on consent given, this consent can be revoked at any time with effect for the future.

You have the right to be given information on your personal data stored with us at any time. You also have the right to rectification, locking or erasure of your personal data, apart from the data storage required for business processing. Please contact our data protection officer in this connection. The contact details are located at the end of this document.

To allow for locking of data at any time, this data must be kept in a lock file for control purposes. You can also request erasure of the data if no legal filing obligation applies. If such an obligation does apply, we can lock your data on request.

You can ask us to make changes or you can revoke a consent by sending a corresponding message to us with effect for the future.

You can make a complaint to a supervisory authority at any time e.g. to the competent supervisory authority of the federal state of your habitual residence or the competent supervisory authority for us as Data Controller. We or substantially all of our assets are acquired by a third party, in which case personal data held by us about our customers will be one of the transferred assets

 

Data collection and processing

On the one hand, your data will be collected when you provide them to CSM. This can be data that you enter into for example a contact form. Other data is automatically collected by CSM´s IT systems when you visit the websites. These are mainly technical data (e.g. internet browser, operating system or time of page view). This data is collected automatically as soon as you enter CSM's websites. Part of the data is collected to ensure that the web pages are provided without errors. Other data may be used to analyse your user behaviour or to enable CSM to fulfil contractual obligations towards you.

Personal data is information that can be directly attributed to the customer. This includes information such as name, postal or e-mail address. Personal data is automatically stored by CSM if the customer provides CSM with this information voluntarily, e.g. in the course of visitor registration. When registering visitor tickets, the following mandatory information must be filled in, also in order to prove a trade visitor status: Company, street, postcode/country, industry, size, form of address, surname, first name, position, e-mail address. The collection, processing and use of data is in accordance with the GDPR.

As CloserStill Media Germany is a subsidiary of CloserStill Media Ltd. your data will be used within the CloserStill Media group of companies.

Transferring Personal Information Outside of the EEA
In processing your personal information, it will sometimes be necessary for us to transfer your personal information outside of the European Economic Area (“EEA”) to our group companies and our third party service providers.

We will take all steps reasonably necessary to ensure that your personal information is treated securely and in accordance with this Policy and the data protection legislation when it is processed in, or otherwise accessed from, a location outside the EEA. In order to ensure this level of protection for your personal information, we will, where appropriate, use a data transfer agreement with the recipient based on standard contractual clauses approved by the European Commission. For the avoidance of doubt, in the event that the UK is no longer a part of the EEA, references in this paragraph to the EEA shall mean the EEA and the UK.

Other data can be used to analyse your user behaviour or to meet our contractual obligations towards you.

Among other things, tools from companies based in the USA are integrated on our website. If these tools are active, your personal data may be transferred to the US servers of the respective companies. We would like to point out that the USA is not a safe third country in the sense of EU data protection law. US companies are obliged to hand over personal data to security authorities without you as a data subject being able to take legal action against this. It can therefore not be ruled out that US authorities (e.g. intelligence services) process, evaluate and permanently store your data located on US servers for monitoring purposes. We have no influence on these processing activities.

Legal grounds:

  • If you give us your express consent (Art. 6 (1) (a) GDPR) e.g. if you want us to contact you directly or if you subscribe to our newsletter.
  • To meet our contractual obligations (Art. 6 (1) (b) GDPR) e.g. if you send an order via our ticket shop.
  • As a company, we need to comply with various legal obligations (Art. 6 (1) (c) GDPR).
  • We also process data for the purposes of our legitimate interests or those of a third party (Art. 6 (1) (f) GDPR). This includes data processing for the purposes of direct marketing and sales promotion as well as the needs-based design of the website.
  • If you send a job application to us, we process your data to establish the employment relationship (section 26 (1) BDSG new German Federal Data Protection Act).
  • As an enterprise (subsidary), CSM is subject to various obligations such as the legitimate business interests of the group of companies (Art. 6 (1) (f) of the GDPR and recital 48).

Business initiation / support in business and professional development
CSM collects and processes for the purpose of initiating business the personal data which we have received from you in the context of a business contact or which you make available to us, e.g. through information in the context of an enquiry, a delivery or service or another business contact. By business contact we mean the collection of data within the framework of events or networking meetings.

Furthermore, we also collect generally accessible data, such as Information from a company presence on the Internet or from other generally accessible directories (catalogues, lists of associations, etc.).

In addition to your contact data, the data collection also includes the other data that you provide us with in this context (as a rule, in addition to the information on the business card also other data). wishes/requests or any other information about the company you work for).

We also collect the information that is available to us on the website of the company for which you work. We process this data in order to provide you and the company for which you are working with in accordance with the objectives of CSM in business and professional development.

Exhibitors
Booking of exhibition space including exhibitor manual

The data you send us to be able to take advantage of our offer/services will be processed by us for the purposes of contract processing and is necessary in this respect. It is not possible to conclude or process a contract unless you provide your data. During the implementation of the contract, we give your data to contracted service providers if this is necessary to fulfil the contract.

The exhibitor needs to open a customer account to book an exhibition space and other services via the exhibitor manual. On this basis, CSM offers its customers various services to make event attendance as interesting and enjoyable as possible. Customers therefore use the services offered by CSM in the form of a comprehensive package.

The personal data collected when booking exhibitor services is only processed by CSM for the purposes of contractual performance, billing and customer administration.

The data from the booking of exhibitor services is also used for any necessary handling of warranty claims or other complaints. This data can also be passed on to external auditors or tax offices for auditing purposes. The data is stored in accordance with statutory storage obligations according to sections 146 ff Tax Code (AO) or section 257 German Commercial Code (HGB) and is erased on expiry of the storage obligation period.

The mandatory data required on opening a customer account (name and address, company, contact person, exhibition and exhibition stand) is passed on as required to contracted service providers of CloserStill Media Germany GmbH offering relevant additional services for the exhibition stand booked by you.

Visitors
The personal data entered by the customer on this page is used to contact the customer by e-mail and - if the customer has agreed to receive the newsletter during the registration process - to keep the customer informed about future events.

When registering trade visitor passes / exhibitor passes (hereinafter referred to jointly as "trade visitor passes")

You can obtain event passes (passes for exhibitions, congresses) via visitor registration. CSM processes the mandatory data you provide together with the data for the specifically selected event for the purchase of the pass, and to give you access to the event on the scheduled day(s). This data is also used to produce corresponding name badges for a visit to the exhibition / attendance at the congress. If trade visitors are invited directly by the exhibitor, the latter can view the data via the ticket registration for a limited period (master data, attendances). This data obtained for the purchase of the pass is used for billing purposes and, if applicable, also for the processing of warranty claims or other complaints.

This data may also be passed on to external auditors or tax offices for auditing purposes. The data relating to the purchase of passes is stored in accordance with statutory storage obligations according to sections 146 ff Tax Code (AO) or section 257 German Commercial Code (HGB) and is erased on expiry of the storage obligation period.

We can use or pass your data on to third parties if this is required for the fulfilment of our service offerings or for the reason of event audits. This may mean disclosing the data to the following partners: transport companies (in the case of orders), credit institutions and payment service providers, credit checks. Auditors can contact you per mail or phone for this

Data may also be disclosed if we have an obligation to pass the data to public authorities or by court order, as the case may be. We only disclose your personal data to third parties with your consent as a matter of principle.

Registration and participation in our web sessions
For our web sessions we use Adobe Connect. When you register for a web session, meeting, workshop, you agree to make your personal data available to the organizers and thus the hosts and presenters of such web session and related site. These organisers are no obligated to treat your personal data in accordance with CSM´s privacy policy. You agree that CSM are not responsible for the actions of these organisers with respect to your personal information. It is important that you review the applicable policies of any web session organiser before providing any personal data or other information in connection with that web session. The personal information you share when you register for a web session will also be stored in Adobe Connect.

By registering and participating in our web sessions, you acknowledge that you have read and agree to the Adobe Connect Terms of Use and Privacy Policy .

Other exhibition services
When purchasing online passes or registering passes for trade visitors, speakers, exhibitors or press representatives, exhibition visitors are given the chance to access other exhibition services offered by CSM as part of a service package. This includes the following services:

  • Lead management
  • Favourites list search & routing
  • SurveyMonkey

The following data processing takes place in the individual processes:

Lead management
CSM makes it possible for trade visitors to conveniently transfer their data from the ticket registration to an exhibitor or other company / organisation / persons taking part in the event (e.g. congress or forum participants, speakers, sponsors etc., hereinafter referred to as "event participant") if the exhibition visitor so desires on a case by case basis. For this purpose, the event participant simply scans a barcode from the ticket and then calls up the data stored by CSM.

Favourites search & routing
A user of the website or the app can store exhibitors, products and events in a favourites list.

SurveyMonkey
We use SurveyMonkey to ask for your opinion with a view to making the event more successful for visitors and exhibitors and to introduce continuous improvements. This ensures that services can be provided in the future to suit your interests. In the visitor online opinion survey, your personal data will be anonymized as comprehensively as possible so that no conclusions can be drawn about your person.

  • for the purposes of contract performance including processing of complaints / warranty: art. 6 (1) (b) GDPR on the basis of a legitimate interest (art. 6 (1) (f) EU-GDPR).

Processing of personal data for marketing purposes by CSM:
CSM and the corresponding contracted service providers (e.g. lettershops) use the name and address for additional measures aimed at retaining and reactivating customers. This includes the sending of further information on interesting products and services by post.

CSM also processes both the mandatory data collected during the use of offers / services and the voluntarily held data, to customise your experience of the exhibition as a visitor or exhibitor, to improve it on an ongoing basis and to be able to offer you services tailored to your interests in the future as well. This means we use the data collected during the use of offers / services to support you in the best possible way in your business development and to inform you of interesting options concerning an exhibition visit and/or your participation as an exhibitor. We process this data in-house to comply with your legitimate interests in the protection of your personal data. Through this data processing, we can send you customised offers (website, e-mail or direct mail marketing).

We will stop using your name and address plus the corresponding data from the use of offers / services for marketing purposes if you have not used any of the offers / services of CSM for a period of up to 7 years. When 5 years have elapsed, we will continue to process the name, address and company, your status (trade visitor, exhibitor) and the last exhibition attended for a further 2 years for direct mail marketing purposes only.

The e-mail address will only ever be used for marketing purposes if we have obtained your separate consent. If the subscriber's registered office is in Germany, the telephone number will also only ever be used for marketing purposes if we have obtained your separate consent. The telephone number of subscribers outside Germany will be used depending on the legal position of the country concerned as long as the subscriber has not objected to a marketing use.

The following exceptions apply: If CSM obtains your e-mail address in connection with the sale of products / services, we use the e-mail address to market our own similar products /services. You can object to the marketing use of your data at any time and you will be advised of this when the data is collected and every time we contact you for marketing purposes. Furthermore, CSM uses the telephone numbers of subscribers in Germany in particular in the commercial sector for marketing purposes if conditions for a presumed consent apply, for example in the context of an existing business relationship.

Business partners, service providers, suppliers
It is not possible to conclude or process a contract unless you provide your data. During the implementation of the contract, we give your data to contracted service providers if this is necessary to perform the contract and to meet communication obligations.

Applicant data
For applications, we use your data to the extent required to process the job application. This may be contact data, all the data connected with the application (CV, job references, qualifications, replies to questions etc.) and, if applicable, bank account details (to refund travel expenses).

To carry out the online application process, we use the services of the third-party provider "HR4YOU AG" (Ulbarger Straße 52, 26629 Großefehn, Germany). HR4YOU AG only processes applicants' data on our behalf and on the basis of contractual obligations which stipulate compliance with the agreed organisational and technical measures (within the meaning of art. 28 (3) (1) GDPR). The use of HR4YOU AG takes place on the basis of our legitimate interests and also the interests of the applicants in allowing a quick and effective application process (within the meaning of art. 6 (1) (f) GDPR). The legal basis for this arises from section 26 GDPR.

If no legal retention period applies, the data is deleted as soon as storage is no longer necessary or the legitimate interest in the storage has lapsed. If the applicant is not recruited, this is regularly the case no later than three months after the conclusion of the application procedure. There may be a longer storage of individual data in some cases (e.g. claims for travel expenses). The length of storage is then based on the legal retention periods e.g. from the General Tax Code (6 years) or the Commercial Code (10 years). If you are not recruited to the position but we are still interested in your application, we shall ask you if we may keep your application and consider it for future job vacancies.

Erasure or locking of data

We adhere to the principles of data avoidance and data economy. We store your personal data only as long as this is necessary to achieve the purposes referred to here or in line with the various retention periods stipulated by the legislator. When the respective purpose no longer exists or the retention periods have expired, the corresponding data will be routinely locked or erased in line with legal provisions.

 

Collecting general information on visiting our website

Type and purpose of processing
When you access our website, i.e. if you do not register or otherwise transmit information, information of a general nature will be automatically collected. This information (server log files) includes the type of web browser, the operating system used, the domain name of your Internet service provider, your IP address and similar information. None of this information can be used to identify you personally.

The data is erased when it is no longer required for the purpose of collection. This is basically the case for data serving the provision of the website when the respective session is terminated.

The provision of the aforementioned personal data is neither a legal nor a contractual requirement. However, the correct service and functionality of our website cannot be guaranteed without the IP address. In addition, individual services may not be available or may be restricted. Adobe Connect uses cookies to collect session information: Attendee participation can be tracked in web sessions, seminars, meetings, and events. When set up, attendees have a deselection option for participation tracking. If an attendee enables the opt-out option, Adobe Connect does not include the participation information and the number of private chat messages in the meeting reports for the organizer. Cookies are not used by Adobe Connect for segmentation, offer management, to identify the user, or to target a user.

Storage period
The data will only be processed in this context as long as the relevant consent has been obtained. Afterwards they will be deleted.

Making contact

Type and purpose of processing
The data entered by you or business cards received are stored for the purpose of individual communication with you. A valid e-mail address and your name are required for this purpose. These are for the allocation of the request and the subsequent response to the request. The provision of further data is optional.

Legal basis
The processing of the data entered in the contact form or on a business card received takes place on the basis of a legitimate interest (art. 6 (1) (f) EU-GDPR).

By providing the contact form, we would like to offer you a straightforward way of contacting us. The information you provide is stored for the purposes of processing your request and for possible follow-up questions.

If you contact us to request a quote, the data entered on the contact form is processed for the implementation of pre-contractual measures (art. 6 (1) (b) GDPR).

Storage period
Data is erased no later than 6 months after processing the request. If a contractual relationship is established, we are subject to the legal retention periods as defined in the German Commercial Code (HGB) and will erase your data on expiry of these periods.

This website uses Google Analytics, a web analytics service. It is operated by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (hereinafter referred to as "Google").
